SOLUTION · INDEPENDENT VERIFICATION

WHEN THE SUPPLIER’S ANSWER IS NOT ENOUGH, VERIFY THE FACTS BEFORE YOU DECIDE.

Independent Verification is for the moments when a buyer needs a separate China-side view of a supplier claim, corrective action, product condition, production status or shipment readiness.

01 · WHEN INDEPENDENT VERIFICATION IS NEEDED

Use it when the decision is important enough that one source of information is not enough.

The objective is not to create distrust. It is to reduce decision risk when the supplier is also the source of the information being used to approve the next step.

SUPPLIER CLAIM“Production is on schedule.”

Verify actual material, line status, completion and remaining work.

CORRECTIVE ACTION“The problem has been fixed.”

Check whether the correction exists on the product, not only in a response email.

CONFIGURATION CHANGE“This component is equivalent.”

Verify the part, specification, impact and approval basis before accepting the change.

RELEASE REQUEST“The order is ready to ship.”

Confirm quality status, open issues, test evidence, packing and release readiness.

02 · WHAT CAN BE VERIFIED

Verify the fact that changes the buyer’s decision.

The scope should be narrow enough to produce a clear answer, but deep enough to support action.

01Supplier Capability

Factory capability, process, equipment, key personnel, capacity and supplier fit.

02Product / Specification

Configuration, critical components, dimensions, labels, market version and deviations.

03Production Status

Material availability, WIP, assembly status, bottlenecks and real completion.

04Quality / Defect Closure

Defect facts, corrective action, rework, recurrence risk and re-check result.

05Shipment Readiness

Final quality status, packing, documents, open items and release evidence.

03 · VERIFICATION METHOD

Fact → Evidence → Gap → Re-check → Decision.

1. Define the claimWhat exactly needs to be confirmed or disproved?
2. Agree the evidence basisWhat observation, test, record or physical check would answer it?
3. Verify independentlyCheck the supplier, product, process or evidence directly.
4. Separate fact from open issueConfirmed · Not confirmed · Still unknown.
5. Re-check if action is requiredDo not close an issue only because the supplier says it is complete.
04 · HIGH-RISK SCENARIOS

Independent verification is most useful when the cost of being wrong is high.

PRE-ORDER

Before releasing a PO

Verify supplier offer, specification basis, critical configuration and unresolved assumptions.

IN PRODUCTION

When status is unclear

Verify progress, material, changes, defects and whether corrective action is actually happening.

BEFORE SHIPMENT

When release evidence is weak

Check final condition, open defects, test basis, packing and shipment readiness.

DISPUTE / ESCALATION

When buyer and supplier views conflict

Establish a separate fact base before commercial escalation or management decision.

05 · WHAT THE BUYER RECEIVES

Not a long report. A decision-ready fact set.

What remains openGap, uncertainty, defect or missing evidence.

06 · VERIFICATION VS ROUTINE INSPECTION

Inspection checks an agreed criterion. Verification answers a buyer question.

Routine InspectionIndependent Verification
Starts withChecklist / acceptance criteriaA claim, issue or decision question
Main objectiveCheck product / shipment conformityEstablish facts for a buyer decision
Typical timingPre / Mid / Final productionAny point where facts are disputed or unclear
OutputInspection result / defect statusConfirmed facts / open gaps / next action
07 · BEST FIT

Use independent verification when you need a separate evidence path.

IMPORTANT DECISIONRelease, approval or escalation matters
ONE-SIDED INFORMATIONSupplier is the only source of the answer
OPEN DISPUTEBuyer and supplier do not agree on the facts
RE-CHECK NEEDEDCorrective action must be physically confirmed
MANAGEMENT VISIBILITYDecision needs an independent China-side view

08 · PRE-ORDER VERIFICATION IS ONE USE CASE

Independent verification can happen before the PO, during production or before release.

The existing pre-order verification logic remains part of this broader service. The difference is that the verification method follows the buyer’s decision point, not only the purchase-order stage.

09 · NEXT STEP

Send the supplier claim, issue or decision you need independently checked.

You do not need a full inspection specification to start. Send the supplier statement, photos, quotation, test result, defect or release question. MFG can define the verification scope from there.
